The Operations Manager oversees organizational processes to ensure efficiency, compliance and financial sustainability. The Operations Manager will work closely with and actively assist the Executive Director. They will work with board committees such as Finance and Development as well as outside vendors such as our accounting firm and our human resources and payroll partner. This role will be responsible for the administration of our financial systems, employee benefits, technology, grants and compliance in close collaboration with the Executive Director. The Operations Manager will create policies and procedures as well as ensuring the day-to-day operation with items such as cash flow and payroll.

This is a remote position although attending in-person meetings and events will at times be necessary. We will give preference to candidates living in our 7 county area of Barron, Buffalo, Dunn, Pepin, Pierce, Polk and St Croix. Some events are on weekends or evenings.

Essential Qualifications:

  • Strong commitment to GROWW’s mission.
  • Prior experience and/or training with financial structures and reporting. 
  • Highly organized with the ability to manage multiple priorities. 
  • Ability to multitask, create goals, meet deadlines and creatively solve problems.
  • Excellent written and verbal communication.
  • Ability to work independently in a remote location without direct supervision.
  • Excellent interpersonal skills and ability to build strong relationships with others.
  • Ability to facilitate meetings and group collaborations.

Preferred qualifications:

  • Experience working in our core technologies: QuickBooks Online, Every Action, Google Workplace and payroll processing software.

Other Expectations:

  • Access to personal computer, reliable internet connection, and smartphone to enable remote work.
  • Office work to be done remotely. In-person meetings and events will take place throughout our seven-county opportunity area.
  • Willingness to work evenings and weekends as needed.
  • Access to reliable transportation. Mileage will be reimbursed for trips to GROWW events and meetings.

Responsibilities:

Finance
  • Responsible for relationship with accounting firm and PEO, making sure that everything is accurate and up to date on monthly basis
  • Manage budget from creation to reviews throughout the year
  • Manage and process payroll 24 times a year
  • Manage expense reimbursement
  • Manage contracts and payments for contractors as well as all other invoices and bills
  • Manage finance projects as needed
  • Manage tax filings in coordination with accounting firm
  • Manage financial audits in coordination with accounting firm
  • Craft operations manual with policies and standard operating procedures
Technology
  • Manage Google Workspace, zoom, captions and any other tools needed for the operation of the organization
  • Manage cyber security
  • Organize trainings and learning for staff so that our tech tools are utilized optimally
  • Onboard board members and staff into the technologies that they will use
Employees and Benefits
  • Manage and optimize our employee and benefit processes and partners
  • Manage logistics for employee staff retreats
  • Serve as thought partner and implementer with ED for creating a productive and positive work environment
  • Assist with new hire and new board member onboarding for policies and technology
  • Responsible for general liability and directors and officers liability insurance
Grants and donations
  • Track grant reporting schedules and financial requirements
  • Manage restricted funds in coordination with accounting firm
  • Manage credit card donation portals, ensuring security and accurate processing
  • Manage processing of check donations from proper allocation, deposit and thank you process
  • Manage cash donations
  • Assist with logistical responsibilities with regards to fundraisers
  • Assist with grant applications and reporting
Compliance
  • Ensure compliance with lobbying and IRS regulations carries through from staff to accounting
  • Organize trainings and policies to ensure compliance best practices
  • Manage yearly filings for taxes, WI Charitable status, lobbying, state PAC (when applicable) reporting and other reporting as needed with the state and federal government

Salary and Benefits:

The salary range for this role is $50,000 to $65,000, commensurate with experience. Benefits include employer contribution to health insurance for employees and their dependents. Full vision, and dental coverage starting on July 1. Generous paid time off policy: 13 holidays, 4 weeks of paid time off and the week between the Christmas and New Year’s Holidays.
